General Information and Basics

What is Refluenced?
Refluenced connects brands with influencers for successful Instagram, TikTok, and UGC campaigns.
On our platform, creators can apply for brand-created campaigns via the app, and the brand only needs to decide whom they want to collaborate with. Compensation is handled through products and/or cash. Influencers’ content is synchronized via the Refluenced app and made available to the brand on the platform.


How does a campaign on Refluenced work?
Refluenced has four phases for campaign execution:

  1. Create a new campaign:
    Our platform guides you step by step through all the necessary sections, ensuring that all relevant information for influencers is included in the campaign. Once the campaign setup is complete, the brand can independently launch it.

  2. Application phase:
    During this period, micro-influencers can apply for the campaign. The brand can review their profile insights and social media accounts. Additionally, they can directly decide whether the influencer fits the brand and accept or decline them with a button.
    The campaign only starts when the selected influencers are confirmed with “Start Campaign.”

  3. Preparation phase:
    During these (7) days, the brand sends the product to the participants. The influencers' addresses are available once the preparation phase begins.

  4. Active phase:
    Over two weeks, the selected influencers will showcase the product on their profiles and create content for the brand.

  5. Reporting:
    Once the commercial phase is complete, the brand receives all key performance metrics related to the campaign.


On which social media platforms can campaigns be run with Refluenced?
With Refluenced, Instagram and TikTok campaigns can be easily executed.
Alternatively, UGC content can also be created. In this case, creators do not post the generated content on their own social media channels but provide it to the brand via the platform. This content can be downloaded and used on the brand’s own channels.


What is included in the reporting?
The reporting provides a comprehensive overview of campaign performance. Refluenced offers various KPIs (Key Performance Indicators) for evaluation.
For Instagram and TikTok campaigns, reach and impressions for stories, reels/posts, and TikToks are tracked. Additionally, for Instagram, story clicks and post/reel likes are analyzed, while for TikTok, watch time and total playtime are measured.
The reporting can be viewed both for individual influencers and for the entire campaign to provide a complete picture of campaign performance.


Does Refluenced also offer UGC campaigns?
Yes, Refluenced also offers UGC (User Generated Content) campaigns.
You can choose between a 15-second or a 30-second video. Creators produce the video based on the briefing guidelines and upload it directly to the platform (not on social media). There is an option to provide feedback once, which the creator will then implement.


What criteria must influencers and UGC creators meet to be part of Refluenced?
The criteria vary depending on the platform. On Instagram, creators need at least 1,000 followers, while on TikTok, a minimum of 500 followers is required.

Note: For Instagram and TikTok applications, not only follower count is reviewed but also engagement rate, content quality, and follower demographics.

For UGC, creators apply with an application video that is verified by Refluenced.

What is a time-limited campaign?
In a time-limited campaign, each campaign phase has a specific timeframe in which it takes place. The campaign ends on a pre-determined date.


What is an ongoing campaign?
In an ongoing campaign, content is continuously created. Influencers can be accepted at any time while those already participating continue producing content.

Note: If no influencers are accepted or rejected within 14 days, the campaign automatically pauses and becomes invisible to creators. In this case, it must be manually reactivated.


What types of campaigns are available on Refluenced?
There are three different campaign types to choose from: Instagram, TikTok, and UGC. In Instagram campaigns, content is posted by influencers on their Instagram channel, while TikTok campaigns involve content posted on TikTok. In UGC campaigns, content is not published by influencers but is delivered directly to the brand.

From the Professional Plan onward, multiple campaigns can be run simultaneously.

Which industries and niches are most commonly covered on Refluenced?
From fashion and food to skincare, comparison platforms, and tech, Refluenced covers a wide range of industries.

Renowned brands such as About You, Liebeskind, Bang & Olufsen, LiveFresh, and SMAVA have already successfully run campaigns through Refluenced.

Campaigns can be created directly on the platform.

Planning and Creating Campaigns

What costs are incurred once I start a campaign?

Refluenced offers three different plans: Advanced, Professional, and Expert. The pricing is fixed and aligned with the included features. Depending on your plan, you’ll have access to a variety of different functionalities.

An overview of all plans and their respective benefits is available on the platform.

Additional costs may apply if you use more content buyouts than your plan includes, or if you offer extra cash compensation for influencers.

For UGC campaigns, costs vary based on the video length and the number of participating creators. A 15-second video starts at just €79 – and no active plan is required for that.


Is setting up a campaign and the application phase chargeable?
The platform offers a free two-week trial. During this period, users can create and launch their first campaign and view the influencers who apply. Once a decision is made to proceed with the selected influencers, the trial phase ends, and a plan must be chosen.

The sales team is happy to assist in selecting the right plan, or a plan can be booked directly through the platform.


When do the influencers post?

Within the active phase, influencers are free to choose when they publish their content.

Typically, the first content pieces are shared within the first two days of the active phase, but some posts may go live toward the end of the period.

If you have specific preferences regarding posting times, feel free to communicate them in the campaign chat.

Note: If you want content to go live on a specific day, it's best to send the influencers a quick reminder in the chat.


Do I need to create a content briefing, or can I give influencers full creative freedom?
For TikTok or Instagram campaigns, influencers can be given more creative freedom.

It is recommended to briefly outline the key aspects that should be highlighted and to provide inspiration in the campaign description without imposing too many restrictions. During the campaign creation process, predefined example formulations are available to assist with the task description. Experience shows that more freedom in execution often leads to more diverse and authentic campaigns.

For UGC campaigns, the briefing should be as precise as possible to ensure that all product features are presented as intended. Detailed scene requests and exact wording guidelines can be beneficial in these cases.

How do I create a successful campaign?

Campaigns should be kept short and clear.
The campaign creation process on Refluenced includes example texts to help you structure your brief and highlight what information is most relevant.

High-quality images that showcase the product well help make your campaign more appealing.

An additional cash incentive can be used to attract more and larger influencers to collaborate.
To increase your reach even further, you can use Partnership Ads and Spark Ads – these allow you to run ads using the influencer's content and name.

Can I duplicate campaigns?
Yes, campaigns can be duplicated and converted into a different campaign type (Instagram, TikTok, or UGC).


Can I run multiple campaigns at the same time?
From the Professional plan onwards, it is possible to launch multiple campaigns simultaneously. Otherwise, only one campaign can be conducted at a time.

However, UGC campaigns can always run parallel to social media campaigns.


Can I specify a particular content format for influencers (e.g., Reel, Story)?
The system calculates the type and amount of content required based on the product value and cash payment.

For UGC campaigns, there is an option to choose between 15- or 30-second videos.

If a different content distribution is needed for a campaign, the Customer Success Team can be contacted for individual adjustments.


Is there a minimum duration for campaigns on Refluenced?

Typically, a campaign runs for about one month:
one week for applications, one week for preparation, and two weeks for content creation.

In special cases, a speedy campaign can be completed in a shorter timeframe.

Our Sales Team or Customer Success is happy to help you find the setup that works best for your campaign.

Note: The campaign itself takes around one month – but once your plan ends, you’ll no longer have access to the post-campaign reporting.

Groups and Organization

What are groups?
Groups allow you to save influencers who should be invited to campaigns. You can add a relevant description and categorize influencers accordingly.

The groups "Favorites," "Previously Collaborated," "My Referrals," and "Following You" are automatically created by Refluenced. Influencers can be added or removed from these groups as needed.


Can groups be created and used for campaigns?
Yes, within the influencer network, you can create groups and request them during the campaign setup process to generate more attention.

The system automatically organizes influencers you've already worked with, those who follow your brand, and your favorites into predefined groups.


Why should I create groups?
Groups allow you to save and easily find influencers you’ve already worked with, those who were particularly reliable, or whose profiles stood out to you.

This makes it easier and faster to invite the right influencers to future campaigns – and helps you save valuable time.


How do I add creators to a group?
In the influencer network, there is a small "+" symbol in the top right corner of each creator's profile. By clicking on it, you can select the desired group, and the influencer will be added.

Alternatively, you can assign influencers directly from their profile.


Where can I find my groups?
Groups are located in the brand profile, directly under the ratings and the influencers invited to Refluenced by the brand.

The groups "Favorites," "Previously Collaborated," "My Referrals," and "Following You" are automatically created by Refluenced.

By clicking the "New Group" button, you can create a custom group and add influencers.


Can I export groups from past campaigns and reuse them for new ones?
Influencers from past campaigns can be added to groups, making it easy to invite them again for future campaigns.

Social Media Platforms

Can TikTok campaigns be run on Refluenced?
Yes, absolutely! The creator produces a TikTok video and uploads it to TikTok. The content is then synchronized within the campaign via the Refluenced app.

Refluenced also allows Spark Ads to be run. During campaign creation, you can specify that the content should be used for ads. The platform collects the creators' ad codes, which only need to be inserted into the TikTok Ads Manager.


Can Instagram campaigns be run on Refluenced?
Yes, that’s possible! The creator produces a story, post, or reel and uploads it to Instagram. The content is then synchronized within the campaign via the Refluenced app.

Refluenced also enables Partnership Ads. During campaign creation, you can indicate that the content should be used for ads. The platform collects the creators' ad codes, which only need to be inserted into the Meta Ad Manager.


How does a TikTok campaign work?
First, a TikTok campaign is created with a briefing. After the application phase, influencers are selected, and the product or service is sent to them. During the active phase, the creator uploads their video to TikTok and synchronizes the content so it becomes visible on Refluenced.

To further amplify the content, Spark Ads can be activated within the campaign. The ad code for the video is then also provided via the platform.


How does an Instagram campaign work?
First, an Instagram campaign is created with a briefing. After the application phase, influencers are selected, and the product or service is sent to them. During the active phase, the creator uploads their story, post, or reel to Instagram and synchronizes the content so it becomes visible on Refluenced.

To further boost the content, Partnership Ads can be activated in the campaign. The ad code for the post is then also provided via the platform.


What is the difference between Instagram, TikTok, and UGC campaigns?
With Instagram campaigns, brands receive stories, posts, and reels, as influencers publish them on their personal Instagram channels. For TikTok campaigns, brands receive videos posted by influencers on their TikTok profiles.

In contrast, UGC campaigns do not involve public posting. The creator submits the video directly via Refluenced. Additionally, UGC campaigns offer a feedback loop option.


Can I run a campaign on both TikTok and Instagram at the same time?
No, each campaign runs on only one social media platform. However, starting with the Professional plan, multiple campaigns can be run simultaneously, allowing you to receive content from both Instagram and TikTok in parallel. Additionally, campaigns can be duplicated and edited as needed.

If you’re unsure which plan suits your needs best, the sales team is happy to assist.

For each platform, specific metrics are provided in the reporting section to measure the success of the respective campaign.

Campaign Phases

Can I give influencers additional instructions during the active phase?
Yes, during the active phase, you can communicate with influencers via chat.

If any adjustments to the briefing are necessary, they should be coordinated directly with the creators through the chat.


What is the application phase?
The application phase is the period during which influencers or content creators can apply to participate in a campaign. This phase usually lasts 7 days. The selection must be confirmed within this period, as the campaign will otherwise be automatically canceled by the system.

If certain influencers should be included in the campaign, they can be requested during this phase. The number of possible requests depends on the selected plan.


What is the preparation phase?
The preparation phase is the period in which you send your products and/or the briefing to the influencers. From this point on, you can communicate with influencers via the campaign chat.

You can download the influencers’ shipping addresses as an Excel file by clicking the “Download addresses” button. Once you confirm the shipment, the influencers will be notified and can indicate when they have received the product.

If you have a voucher or code that creators need to order the product themselves, you should share it via the campaign chat.


What is the active phase?
The active phase is the period during which creators produce their content, upload it to social media, and synchronize it on Refluenced. In most cases, this phase lasts 14 days.

To successfully sync content from Instagram or TikTok with our platform, creators must correctly include all hashtags, tags, and links specified in the campaign. If any issues arise, the influencer should contact our team via Instagram DM or email. We will ensure that the content is successfully synchronized.

If creators have not yet posted their content two days before the deadline, our influencer manager proactively reaches out to remind them.


When can I start accepting influencers in the campaign?
As soon as influencers apply for the campaign, you can accept or reject them.

If you decide to collaborate, they will appear under “Your Selection.” To officially confirm the collaboration, you must start the campaign by clicking “Confirm Selection.”

For time-limited campaigns, you cannot accept any additional influencers after this point. However, for ongoing campaigns, you can continue accepting applicants even after confirming your selection.

The number of influencers you can work with in a campaign varies depending on your plan.


Can I request influencers for my campaigns?
Yes, you can.

On every influencer profile, you’ll see an envelope icon with a small heart in the top left corner. When you click on it, you can choose which campaign you’d like to invite the influencer to.

You’ll also find an “Request Influencers” button during the application phase of each campaign. If you’ve already created influencer groups, you can request them during the campaign setup process.

Note: An invitation is not binding for either side. The influencer doesn’t have to accept it, and you as the brand can also choose to remove them later.


Can I extend the duration of a phase afterward?
You can set the number of days for the application phase yourself and determine the date when the campaign goes live.

If you need to adjust the duration of a phase, please contact our Customer Success Team – they will update the timeline for you accordingly.

Compensation and Reporting

What is an appropriate compensation for influencers?
In general, the higher the compensation, the more influencers will be interested in your campaign.

You can specify a product and/or cash compensation in your campaign description. If influencers are promoting a product, they must receive it or be able to order it using a voucher. If they are promoting a service, you should provide them with access.

They create content, showcase how to use the product or service, and promote it on social media.


What is additional cash compensation?
With an additional or higher cash compensation, your campaign becomes more attractive to influencers, leading to more and higher-quality applications.

This cash compensation will be invoiced to you by Refluenced after the campaign.


How are influencers paid?
In exchange for creating content, influencers can keep your product or receive limited access to your service.

If you have included a cash compensation in your campaign, influencers can withdraw their payment via the Refluenced app after the campaign ends. This cash compensation will be invoiced to you by Refluenced after the campaign.


Can I receive my reporting as an Excel file?
Yes, upon request, we can provide your reporting in Excel format – please contact our Customer Success Team.


What does the reporting include?
The reporting gives you a comprehensive overview of your campaign’s performance. Refluenced provides various KPIs (Key Performance Indicators).

For Instagram and TikTok campaigns, reach and impressions for stories, reels/posts, and TikToks are tracked.

Additionally, for Instagram, story clicks and post/reel likes are analyzed, while for TikTok, playback time and total watch time are measured.

Can I analyze the performance of individual influencers in the campaign?
Yes, the reporting displays the collected KPIs for each influencer separately.

You can request an Excel report from our Customer Success Team, and we will list all participants in a clear overview.

Additional Features

How do I add employees to the Multi-User feature?
Log into your profile and click on “Invite” in the top navigation bar of our website. There, you can add email addresses and select the permissions for each user.

An overview of the different permission types can be found at the bottom of the pop-up window.


Can I access an account with multiple emails?
Yes, thanks to our Multi-User feature, you can invite other email addresses to your brand account!

This is especially useful when multiple employees are managing your campaigns. Under “Invite,” you can view added users and manage their access permissions.


What is the Brand Academy?
In the Brand Academy, our team shows you how our platform works. You can find the tutorials in your dashboard on our platform.

What is an Event Campaign?
With an Event Campaign, you can promote an event happening on a specific date. Creators will attend the event in person and have three days to post their content afterward. You can specify the event location in the campaign.

What is the difference between Content Buyout and Partnership Ads / Spark Ads?
With a Content Buyout, you purchase the content from the influencer and obtain the usage rights. This allows you to use the content for your own marketing purposes. In your reporting, you will find a “Download” button under each content piece, which allows you to execute a Content Buyout. The number of included Content Buyouts varies depending on your plan. If you have used all your included Buyouts, you can purchase additional ones through our platform.

With Partnership Ads/Spark Ads, the influencer’s content is promoted as an ad under their name. These ads blend seamlessly into the user experience of social media apps and benefit from increased authenticity. The rights to the content remain with the influencer, but you have the right to run ads with their content for one year. A Content Buyout is not required to use the content in a Partnership/Spark Ad.


What are Partnership Ads?
Partnership Ads are advertisements on Instagram where brands use influencer content for targeted promotion. The influencer grants permission for their content to be used in advertising, and the brand runs the ad in their name.

Benefits:

  • Authenticity: Ads appear as organic posts.

  • Targeted reach: Content can be shown to specific audiences.

  • Higher performance: Combines influencer authenticity with platform targeting.

  • Rights: Usage is time-limited, and content rights remain with the influencer.

Through Refluenced, we collect the ad codes for you, and you only need to copy and paste them into your Meta Ad Manager.


What are Spark Ads?
Spark Ads are advertisements on TikTok where brands use influencer content for targeted promotion. The influencer grants permission for their content to be used in advertising, and the brand runs the ad in their name.

Benefits:

  • Authenticity: Ads appear as organic videos.

  • Targeted reach: Content can be shown to specific audiences.

  • Higher performance: Combines influencer authenticity with platform targeting.

  • Time-limited: Content rights remain with the influencer.

Through Refluenced, we collect the ad codes for you, and you only need to copy and paste them into your TikTok Ads Manager.


How does a Content Buyout work?
With a Content Buyout, you purchase the content from the influencer and gain full usage rights. This allows you to use the content for your own marketing purposes.

In your reporting, you will find a "Download" button under each content piece, where you can execute a Content Buyout. The number of included Content Buyouts depends on your plan. If you have used all your included Buyouts, you can purchase additional ones through our platform.


How can I run Spark Ads?
During campaign creation, you can specify that TikTok videos should also be used for paid advertising. When synchronizing their content, creators provide their video link and the corresponding ad code.

You can easily copy the ad code in your reporting and insert it into your TikTok Ad Manager.


How can I run Partnership Ads?
During campaign creation, you can specify that Instagram content should also be used for paid advertising. When synchronizing their content, creators provide their ad code for the Partnership Ad.

You can copy this ad code in your reporting and insert it into your Meta Ad Manager.


Can I customize my referral code?
Yes, in your brand profile, you have the option to personalize your referral code and invitation text.


Are there tutorials or templates for creating content briefings?
No, but we have already included templates with pre-written example sentences in the campaign creation process that you can use.

Troubleshooting and Support

The (participating) influencers are not responding to my messages. What should I do?
In this case, please reach out to our Influencer Manager at [email protected].
She will contact the influencers for you.


Can I send a message to all influencers at once?
Yes, once the preparation phase begins, the chat function is activated.

At the top right of the participant list, you will find an icon with two people and a "+". Click on it to send a message to all creators in the campaign.


What should I do if an influencer does not post?
If an influencer fails to post, please contact our Influencer Manager at [email protected].
She will follow up with the influencers.


I need help with my campaign.

How can I make changes to my campaign?
As a brand, you can edit your campaign draft as often as needed. However, the product value, briefing, and campaign phases cannot be changed after the campaign starts.

If changes are still necessary, please contact our Customer Success Team – they can adjust the campaign for you.


How can I remove an influencer from my campaign?
You cannot remove influencers from your campaign on your own, as you have entered into a mutual agreement.

However, if there are valid reasons for terminating the contract, please contact our Customer Success Team – they can remove the influencer from the campaign if necessary.


How do I report a technical issue on the platform?
Please contact our Customer Success Team directly and provide a screenshot or screen recording of the issue.

We will review the case immediately and inform you once the problem is resolved.

Other Questions

Can I collaborate with Refluenced influencers outside of Refluenced?
According to our Terms & Conditions, it is not permitted to enter into a cooperation with influencers outside of Refluenced within 18 months after successfully completing a campaign.

Additionally, it is important that influencers you discovered and worked with through Refluenced must only be contacted via our platform.


Can I work with influencers on Refluenced that I have already collaborated with outside the platform?
Yes, in your brand profile, you will find a referral code that you can send to influencers. When they sign up in the app using this code, they are automatically added to your ambassador network in a separate group ("Invited"). You can then directly invite them to your campaigns.

Note: Influencers who join via your referral code do not count toward your influencer limit for campaign selections. This means you can work with as many influencers as included in your package, plus your referral influencers.


Can I view the history of all my past campaigns?
Yes, if you scroll down in your dashboard, you will first see your active campaigns where you are currently receiving content.

Below that, you will find your open campaigns that are still in the application phase. Your completed campaigns are listed afterward, and at the very bottom, you will also find an overview of your campaign drafts.
